Lack of Flexibility in
Form Creation
For every campaign in the system, a form (either external or internal) was attached to centralize all lead information in one place.
TrackBox’s goal was to have all users work solely within the platform, consolidating all data under one roof, without the need to rely on external tools or additional support systems.
However, a major barrier to this vision was the significant limitations in TrackBox’s native form builder.
Many users preferred using external form tools because TrackBox’s solution didn’t offer the flexibility and ease required for creating fully customized forms.
The built-in form module in TrackBox was restricted to a fixed set of 10 predefined parameters (phone, email and etc), with no ability to add custom fields or adjust structure.
Any request for customization required contacting the support team and submitting a special development request, a process that was time-consuming and hindered users’ operational agility.

The goal is to EMPOWER users, improve communication, and upgrade the platform’s form capabilities for a more dynamic and autonomous experience.
Our primary objective was to remove the dependency on developers and support teams, and empower users to create forms tailored precisely to their business needs—easily, intuitively, and without writing any code.
In other words: to put the control in the users’ hands, enabling them to build and manage effective forms that lead to higher-quality, better-targeted leads, all while keeping the process centralized within the TrackBox platform.

Building the Right Tool Begins with Listening
To design a solution that truly meets user needs, we began the process with in-depth qualitative research.
The main goal was to understand how users currently create forms, where they encounter friction, and what unmet needs exist in the current system.
As a first step, we created a focus group of 6-8 users to identify their exact needs.
The sessions were structured as 30-minute semi-guided conversations, including:

A walkthrough of how they currently use forms

A live usability test of creating a form in real-time

Open-ended questions around frustrations, desires, and workflows

A mapping of business needs versus the technological limitations of the existing solution
Here are the 4 main conclusions:

Adding different elements beyond questions and answers, such as images/icons

Creating more than one form for different customer segments in the industry
Empower Users with Simple, Flexible, No-Code Tools
Build a tool so simple and intuitive that anyone—regardless of technical skills—can use it to create fully customized forms.
We translated this into two main product goals:

Every interaction was designed to be clear and guided, so users can create, edit, and manage forms without hesitation or support. -

So What Did We Do?
To address the usability challenges and enable a smooth creation experience, we reimagined the interface architecture and introduced a two-part screen layout, designed to guide the user step by step.

Left Panel –
The Creation Area
Built as an open menu for the user –
to simplify the creation process

3. Control the colors (buttons and the background).

Here, users can define logic, set required fields, adjust layout spacing, and manage advanced options—ensuring full control over how the form behaves and appears.
1. The user has the ability to delete, duplicate, and edit various elements
2. Create the forms according to his own brand identity
3. The user has the ability preview the final result immediately


While the project faced challenges in balancing simplicity and functionality, the accomplishments highlight its success in empowering users, enhancing customization options, and providing a seamless, accessible experience.
The project not only addresses the pain points but also introduces valuable features that improve both user experience and platform effectiveness.
